What is TrakView?

TrakView is the name of RecordTrak’s on-line application that allows users to request records and track the status of pending requests at the individual case level. Through TrakView documents may be viewed, printed and downloaded in .pdf format.

What is TrakLink?

TrakLink is RecordTrak’s internet application that alerts users with an email as each record is received. The e-mail provides a hyper-link to download the records from a secure, password protected server. All downloaded documents are OCR term searchable.

What type of records can be obtained?

Just about any type of record can be obtained. The types of records include medical, pharmacy, employment, military, IRS, Social Security Disability, Social Security Administration, Medicaid, Medicare, insurance, Worker’s Compensation, union, and scholastic records. In addition, medical material can also be obtained such as radiology, pathology, echocardiograms and cardiac catheterizations.

Once I place an order, how long will it take to process my order?

Orders are generally processed within 24 to 48 hours. An e-mail notification is sent to you confirming RecordTrak’s receipt of your order.

Am I able to upload case specific documents with my orders?

Case specific documents can be uploaded with your orders. There is no need to separate your orders by submitting case documents via fax or mail to RecordTrak.

Can I request a rush on my record orders?

Rush orders are accepted and assessed when expedited services are requested. Expedite services include prioritizing orders ahead of other requests, follow up phone calls on an accelerated basis and requested records given priority filing, shipping and handling. Overnight services are used as directed by counsel. Images are uploaded and documents are printed and shipped within 24 hours of receipt.

Once I place an order, how long will it take to receive my order?

The average turnaround time is 28 calendar days. The turnaround time for record retrieval is mostly dependant upon provider cooperation. Being in business for over 25 years has enabled us to build strong relationships with our providers. We work hard to obtain the records as promptly as possible and have many time saving methods we employee.

Where can I obtain the necessary authorization forms to place an order?

RecordTrak maintains HIPAA compliant authorizations that can be downloaded as well as specific authorizations required for obtaining government records. In addition, we maintain an updated database of provider authorizations that require use of their specific authorization. The authorizations are PDF Format.

How are my records sent to me?

RecordTrak is able to provide documents electronically via our secure website, secure FTP transfer, CD/DVD, or hard copy via regular or overnight mail.

How customizable are your record review and data mining services?

Based on client needs our analysis can range from review of records for additional locations to full case chronologies.

What is E-Service?

It is the electronic service of documents where parties receive an e-mail with a hyperlink to the document that is being served. It is the perfect solution for matters involving correspondence between multiple parties. Distributing documents this way can result in significant time and cost savings.

What is the cost to serve an electronic document?

It is a flat rate for the party serving the documents no matter how many parties are being served. The recipients do not pay for anything to receive and access the record online.

An experienced RecordTrak client representative, who provides dedicated account management, is assigned as your primary point of contact. Additional RecordTrak support staff assists in responding to ensure inquiries are responded to in a timely manner.
